Terms and Conditions for Reimbursement of Registration Fees

1. Eligibility for Reimbursement:

• Reimbursement of registration fees will only be considered if a player voluntarily withdraws from the minor hockey association.
• The request for reimbursement must be submitted to the President in writing and signed by the parent or guardian of the player.

2. Timing of Withdrawal:

• Full reimbursement (minus any non-refundable fees) is available if the withdrawal request is submitted before the start of the hockey season.
• Partial reimbursement may be considered if the withdrawal occurs before November 1. The exact amount will be determined by the BBMHA Executive.
• No reimbursement will be provided if the withdrawal occurs after November 1.

3. Non-Refundable Fees:

• Certain fees, such as administrative fees, insurance fees, and costs related to uniforms and equipment provided by the association, are non-refundable.

4. Procedure for Reimbursement:

• The reimbursement request must include the player’s name, team, and the reason for withdrawal.
• Requests should be submitted to the President either in person or via email.
• The Executive will review the request and determine the eligibility and amount of reimbursement within 30 days of receiving the request.

5. Approval and Payment:

• Approved reimbursement amounts will be processed and paid within 45 days of the approval notification.
• Reimbursements will be made via the original method of payment or otherwise determined by the BBMHA Executive.

6. Exceptions:

• Reimbursement policies may be adjusted in cases of medical emergencies or other extraordinary circumstances, at the discretion of the BBMHA Executive.

7. Agreement:

• By registering with the minor hockey association, parents and guardians acknowledge and agree to these terms and conditions for reimbursement of registration fees.

9. Changes to Terms:

• The minor hockey association reserves the right to modify these terms and conditions at any time. Any changes will be communicated to registered players and their guardians in a timely manner.

Amounts Owing

Any player who has an outstanding account (registration, reconciliation amounts or fines) from the previous hockey season are required to have all accounts paid in full to BBMHA before being allowed to take part in any tryouts, practices or games under BBMHA jurisdiction.

In the case of a missed payment or failed credit card transaction, payment must be made for the full amount of that specific payment (in additiona to any administration fees) within one week of notification to the player. Failure to do so, may result in a player suspension until the payment is received.
