<h1>REFUND POLICY</h1>
<h2>1.&nbsp;&nbsp; General Information</h2>
&middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; No refunds will be issued once a player has been evaluated and/or placed on a team. (Refunds for players who must withdraw due to injuries will be dealt with on a case-by-case basis).
&middot;&nbsp;&nbsp;&nbsp;&nbsp;&nbsp; All refunds must be requested, in writing with justification, to the association via email. Refunds may incur deduction fees as per below and are subject to review by the Westlake Hockey board members:
o&nbsp;&nbsp; $50 Administration Fee at any time of request
o&nbsp;&nbsp; Basic registration fee for current season:
&sect;&nbsp; 25% deduction for requests made between September 15th and November 15th
&sect;&nbsp; 50% deduction for requests made between November 16th and January 15th
&sect;&nbsp; No refund for requests made post January 15th
o&nbsp;&nbsp; Pro-rated Westlake contributions on behalf of member, percentage adjusted according to date of request
&sect;&nbsp; Hockey Canada, Hockey Quebec and Hockey Lac St-Louis
&sect;&nbsp; Insurance coverage
&nbsp;This above cancellation fee structure is OUTSIDE of any cancellation policy mentioned below.

<h2>2.&nbsp;&nbsp; Medical Refund</h2>
&nbsp;
If a refund is requested due to medical reasons, a player is entitled to a refund of 25% of the registration fees until January 15 of current hockey season calendar. A doctor&rsquo;s letter is required within 7 calendar days of the incident. The player would then be considered &sbquo; &ldquo;inactive&rdquo; and will be removed from the registration list (T112) by the Registrar. This status means that the player CANNOT play or practice. Playing an inactive member would result in the forfeiture of any and all games. Inactive player(s) participating will not be covered by any insurance, as they are not duly registered.

<h2>3.&nbsp;&nbsp; Cancellation policy in the event of a season cancellation</h2>
&nbsp;
Should a season need to be cancelled for any reason, registered families would be entitled to a pro-rated refund. This cancellation policy is outside of any refund request covered above. This policy is intended to ensure fairness and transparency for all registered families in the event that a season is cancelled due to any unforeseen or major disruptions (ie: Covid-19). Exact refunds would depend on specific circumstances and would be determined by guidelines set by Hockey Canada, Hockey Quebec, Hockey Lac St Louis or Westlake Minor Hockey Association (or any combination of the mentioned associations).

<h2>4.&nbsp;&nbsp; IMPORTANT Conditions for Refund Payments</h2>
&nbsp;
A refund will only be issued once all team budget obligations / contributions have been paid, these are independent of registration fees and are always paid directly to the team in which the player was placed, and not to Westlake Hockey.
Refunds will not be processed between mid-August and the end of October of the current hockey season calendar.
Refund payments will be made via a single form of payment to a single person responsible for the member, those include parents, tutors or guardians, as well as the said member if of legal age. If the refund request is received from a different person that made the original payment, Westlake Hockey reserves the right to withhold the refund until approval is received from the original payee.
